Groupli helps teachers plan and track small-group instruction. To do that it holds a small amount of information about teachers and the students they teach, and it is built to hold as little as it can. This page explains exactly what that is, in plain language, for teachers, school and district staff, and parents.

At a glance

  • Groupli is used by teachers. Students never sign in, create accounts, or give Groupli anything themselves.
  • We collect as little about students as the product needs: a name, the class they are in, and the assessment and small-group information a teacher adds.
  • Groupli does not require student email addresses, and has no fields for a student’s birth date, district ID number, contact details or demographic information.
  • We do not sell student information, and we do not use it for advertising.
  • Uploaded assessment reports are used temporarily to extract information for import and are not kept as permanent source files. After a teacher confirms an import, Groupli keeps the student and instructional information needed to provide the service. The details are below.
  • Questions and requests about information Groupli holds can be sent to privacy@getgroupli.com.

Who Groupli is for

Groupli is built for teachers and other educators. An account belongs to an adult who signs up for themselves, and one subscription covers one teacher.

Groupli is not designed for students to use. There is no student sign-in and no student-facing part of the product. Everything Groupli knows about a student was entered or uploaded by that student’s teacher.

Teacher account information

When you create an account and use Groupli, we hold:

  • Your email address, which identifies your account.
  • Your sign-in details — your name, password and login sessions. These are held by Clerk, our authentication provider. Groupli’s own database stores your email address and an account identifier, not your password.
  • Your teaching setup — the state whose standards you teach, your school years, and the names, grades and subjects of your classes.
  • What you do in Groupli — the groups you plan, the sessions you record, the exit tickets you generate, and a log of account actions such as creating a class. The log records what was done and when, not student names or scores.
  • Subscription details — which plan you chose, its status, and trial and renewal dates.

Payments are handled by Stripe. When you subscribe, you enter your card on a form provided by Stripe. Groupli never sees or stores your full card number. We keep the identifiers Stripe gives us for your customer record and subscription, and we share your email address with Stripe so it can send receipts.

Your free trial does not require a payment method, so no payment information exists for your account until you choose to subscribe.

Student information

Teachers add students so that Groupli can organize instruction around them. For each student, Groupli stores:

  • First and last name, as the teacher typed it or confirmed it from an uploaded report.
  • Class membership — which of the teacher’s classes the student is in, and an optional marker a teacher can set to follow students in the lowest-performing quarter of a class.
  • Assessment results the teacher uploads or enters: overall scores and performance levels, and, where the report includes them, results by reporting category, benchmark or standard, and the skills the report recommends.
  • Instructional records — which standards a student still needs support with, the small groups they are placed in, whether they took part in a session, the outcome the teacher recorded (for example Mastered or Almost Got It), progress over time, exit-ticket scores, and any note the teacher writes on a session.

Groupli does not require a student’s email address, and has no fields for a student’s birth date, district student ID number, home address or other contact details, photograph, demographic information, or special-education or English-learner status. It does not ask for any of them. Students do not have accounts.

A few fields are free text — a class name, an assessment name, and an optional note on a small-group session. Please do not put sensitive personal information about a student in them.

Reports generated by Groupli, such as a student’s small-group history, are created at the moment you download them. Groupli does not keep a copy of the PDF.

Uploaded assessment reports

Teachers can upload an assessment report — for example a FAST or Star report exported as a spreadsheet, CSV, PDF or image — so they do not have to type scores in by hand. Groupli reads the report to find each student’s results, shows the teacher what it found, and saves the results the teacher confirms.

An uploaded report is used temporarily to extract information for import. Groupli does not keep it as a permanent source file. What happens to the file depends on its type:

  • Spreadsheets, CSV files and images are read while the upload is in progress and are not saved by Groupli.
  • PDF reports can take a minute or two to read, so Groupli holds the file while it is being read and deletes it as soon as the reading finishes. If a reading is interrupted and could be tried again, the file is kept for a short retry period and then removed automatically — within 2 days at most.

The same applies to what Groupli reads from a report. Until the teacher confirms the import, Groupli holds the reading — the student names and results found on the report — so the teacher can review it and match it to their class. That reading is deleted when the teacher confirms the import. If an import is never confirmed, it is removed automatically after a short review period — within 4 days at most. Students on a report whom the teacher chooses not to add are not kept.

These removals are carried out by an automatic process on Groupli’s servers that runs every day. They do not depend on the teacher coming back to the page.

After a teacher confirms an import, Groupli keeps the student and instructional information the teacher chose to add — the results described under Student information. It also keeps a short record that an import took place: when it happened, which class it was for, and a fingerprint of the file (a code computed from it, which cannot be turned back into the report) so the same report can be recognized if it is uploaded again. That record contains no student names or scores, and Groupli does not keep the name of the file you uploaded.

How AI is used

Groupli uses AI models provided by OpenAI in two places. In both, information is sent to OpenAI only to produce the result the teacher asked for.

  • Reading assessment reports. Reports in formats Groupli recognizes are read by Groupli’s own software, with no AI involved. When a report is in a format Groupli cannot read that way, its content is sent to OpenAI to be read. A PDF or an image is sent as it is, so anything printed on it — including student names and results — is included. For a spreadsheet or CSV, columns that Groupli recognizes as ID numbers, birth dates, demographic or program information, or contact details are removed first; student names and results are sent, because they are what is being read.
  • Writing exit tickets. When a teacher generates an exit ticket, Groupli sends the grade, subject and the standard that was taught. No student or teacher information is sent.

A teacher’s class roster is not sent to OpenAI; matching the students on a report to the students in a class happens inside Groupli. Each request that sends a report to OpenAI is made with OpenAI’s response storage turned off (store: false). OpenAI processes what it receives under its own terms for business customers, which govern any further retention on its systems.

AI never decides anything about a student. It reads a report or drafts questions; the teacher reviews what it produced and decides what to keep.

How information is used

We use teacher and student information to provide Groupli: to show you your classes, suggest and track small groups, keep a history of instruction, and produce the reports you ask for. We also use account information to run your subscription, send essential emails about your account, keep the service secure, and fix problems.

  • We do not sell student information or teacher information.
  • We do not use student information for advertising, and we do not build advertising profiles of students or teachers.
  • We do not share student information with other teachers or other schools. Each teacher sees only the classes and students in their own account.
  • We do not use student information to train AI models.

A small number of Groupli staff can view account information to provide support and keep the service running. We may disclose information if the law requires it.

Service providers

Groupli relies on a few companies to operate. Each receives only what it needs for its part:

  • Clerk — sign-in and account security. Holds your name, email address and password.
  • Stripe — payments. Holds your payment details and billing history.
  • Vercel and Neon — hosting and the database where Groupli’s information is stored.
  • OpenAI — reading assessment reports and writing exit tickets, as described above.
  • Resend — sending Groupli’s welcome email to teachers. No student information is included.
  • Meta — measuring whether our advertising works, as described in the next section. No student information is shared.

Cookies and marketing measurement

Cookies needed to use Groupli. Clerk sets cookies that keep you signed in, and Stripe sets cookies on the checkout page to process payments securely and prevent fraud.

How we learn where teachers hear about us. When someone visits our homepage or sign-up page, Groupli sets one cookie of its own, named groupli_acq, which lasts 90 days. It contains a random identifier and nothing else. Alongside it we record the campaign labels in the link that brought the visitor to us (for example, which email they clicked), and which parts of the homepage they used. If the visitor creates an account, that record is linked to the account so we can tell which of our outreach is useful. We do not store IP addresses or browsing history with it, and we do not share it with anyone.

Meta Pixel. Our public homepage loads the Meta Pixel, a measurement tool from Meta (Facebook and Instagram), so that we can tell whether our ads lead teachers to Groupli. It also loads once on a single confirmation page shown when a teacher’s free trial begins. We do not send Meta your name, email address, or anything about your classes or students. As with any such tool, Meta receives standard technical information from your browser, such as your IP address and the page address, and may set its own cookies. The Meta Pixel is never loaded on the pages where you work with your classes and students.

You can block or delete cookies in your browser settings, and browser privacy tools that block trackers will block the Meta Pixel. Groupli works normally without it; the sign-in cookies are the only ones the product needs.

Retention and deletion

Temporary processing material is deleted automatically. Uploaded report files are deleted when they have been read, or after a short retry period — within 2 days at most. What Groupli read from a report is deleted when the teacher confirms the import, or within 4 days if they never do. The details are under Uploaded assessment reports.

Account information is kept while the account exists. The classes, students and instructional history a teacher adds stay in their account so they are there when the teacher comes back — including after a free trial or a subscription ends. Ending a trial or canceling a subscription does not delete anything.

Inside Groupli a teacher can correct a student’s name, remove a student from a class, and archive a class or an assessment. Removing or archiving takes something out of view; it does not erase the history behind it. Groupli does not currently have a button that permanently deletes a student or an account, and it does not delete account information on a fixed schedule.

Requests about your information. A teacher, school or district that wants information reviewed, corrected or deleted can write to privacy@getgroupli.com. Every request is reviewed. Because these requests are handled individually rather than by an automatic tool, we do not state a fixed timeline here. Some records, such as records of payments, may need to be kept where the law requires it.

Information held by our service providers, and copies in routine backups, are subject to those providers’ own retention schedules.

Schools, FERPA and COPPA

Student information that a teacher puts into Groupli usually comes from their school’s education records. Schools and districts often have their own review and approval requirements for instructional software. Teachers are responsible for making sure they are permitted to use Groupli with student information under their school’s or district’s policies, and for entering only what they need.

FERPA. Groupli is designed to be used in an educational setting, at the direction of the teacher. It uses student information only to provide the service to the teacher who entered it, and does not sell it, use it for advertising, or disclose it for an unrelated purpose. If a parent or eligible student asks a school to review or correct a record held in Groupli, the teacher can make corrections in Groupli, and the teacher or school can contact us at privacy@getgroupli.com.

COPPA. Groupli is not directed to children and does not collect information from them. Children do not use Groupli; the information about students comes from their teacher, for an educational purpose.

Groupli does not hold a privacy certification, and nothing on this page is a claim of certification or a legal guarantee. If your school or district needs more information to review Groupli, or requires a data-privacy agreement, please write to privacy@getgroupli.com.

Security

Information travels between your browser and Groupli over encrypted connections. Every request is checked on our servers so that a teacher can reach only their own classes and students. Sign-in and payments are handled by providers that specialize in them. Access to the systems that hold Groupli’s information is limited to the people who operate the service.

No online service can promise perfect security.
